Role Overview
TEDxMaitama is looking for a highly organized and relationship-oriented Partnerships Coordinator to support the planning, execution, and management of partnerships and sponsorships across our conferences, studio sessions, and special editions.
This role is execution-heavy and ideal for someone who enjoys coordination, follow-through, stakeholder communication, and on-ground delivery. You will work closely with the Partnerships & Marketing Manager and the Convener to ensure partners are supported, visible, and satisfied throughout the partnership lifecycle.
Key Responsibilities
Partnership Support & Coordination
- Support sponsor and partner outreach, follow-ups, and meeting scheduling
- Maintain and update partnership databases, trackers, and CRM tools
- Assist in preparing partnership proposals, decks, and pitch materials
- Coordinate onboarding materials and communication for confirmed partners
- Track partner deliverables and ensure timely execution
Event & Activation Support
- Support partner branding and visibility at events (booths, banners, signage, stage mentions, content integrations)
- Coordinate logistics for partner activations before and during events
- Liaise with production, media, and creative teams to deliver partner assets
- Support partner representatives on event days and manage on-ground needs
Communication & Reporting
- Serve as a point of contact for assigned partners under supervision
- Draft professional emails, updates, and partner communication materials
- Support post-event reporting including photos, metrics, and summaries
- Document lessons learned and feedback for continuous improvement
Required Qualifications & Experience
- 1–3 years experience in partnerships, events, communications, marketing, or administration
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- High attention to detail and strong follow-through
- Comfortable working with multiple stakeholders and deadlines
- Proficiency in Google Workspace and basic project management tools
Preferred (Nice to Have)
- Experience working on conferences, media platforms, or branded events
- Familiarity with sponsorship or partnerships coordination
- Interest in ideas, storytelling, innovation, leadership, or development
- Basic understanding of marketing, branding, or communications
