Purpose of the Role
We are seeking a highly organised and proactive Executive Assistant to support our Managing Director. This is a business-critical role focused on maximising the MD’s time, productivity and external engagement.
A key priority of the role is to proactively ensure the Managing Director’s diary is filled with customer and partner meetings (particularly Tuesday–Thursday) by working closely with the Sales team and following up opportunities until meetings are secured.
This role is ideal for someone who is confident, persistent, commercially aware and comfortable working closely with senior leadership.
Key Responsibilities
1. Executive & Diary Management
- Full ownership of the MD’s calendar, ensuring time is structured and aligned with business priorities.
- Plan and manage weekly and monthly schedules in advance.
- Protect focus time and minimise ad-hoc interruptions.
- Monitor inbox and prioritise correspondence on behalf of the MD.
- Arrange travel, accommodation and logistics where required.
2. Customer Meeting & Relationship Coordination (Core Focus)
- Proactively ensure the MD’s diary is consistently populated with external meetings Tuesday–Thursday.
- Work closely with Sales to identify:
- Key prospects
- Existing customers
- Strategic partners
- Opportunities requiring MD involvement.
- Follow up leads, introductions and opportunities until meetings are confirmed.
- Maintain a forward pipeline of meetings 2–4 weeks ahead.
- Coordinate meeting logistics (virtual and in-person).
3. Sales & Pipeline Support
- Act as the link between the Managing Director and the Sales team.
- Track opportunities where MD involvement is required.
- Prompt and chase sales managers for introductions and meeting opportunities.
- Maintain a simple meeting and engagement tracker.
- Ensure key opportunities do not stall due to lack of follow-up.
4. Meeting Preparation & Follow-Up
- Prepare briefing packs for customer meetings including opportunity overview & meeting objectives
- Capture key actions and ensure follow-ups are completed.
- Track important relationships, commitments and next steps.
5. Business & Administrative Support
- Coordinate leadership and internal meetings.
- Support preparation of presentations and reports.
- Assist with projects and initiatives as required.
- Help improve administrative processes and organisation.
Person Specification
Essential Skills & Experience
- Proven experience as an Executive Assistant, Personal Assistant or in a senior administrative role.
- Exceptional organisational and diary management skills.
- Strong communication skills and confidence working with senior stakeholders.
- Proactive and persistent approach to follow-ups.
- Comfortable liaising with sales teams and customers.
- Ability to prioritise, multitask and work independently.
- Strong attention to detail.
Desirable Experience
- Experience supporting a Managing Director or senior executive.
- Experience working in a sales-driven or commercial environment.
- Experience coordinating customer meetings or events.
- CRM or sales pipeline tracking experience.
