Job Description

Job Summary

The Front Desk Officer serves as the first point of contact for patients and visitors at the diagnostic centre. The role involves patient reception, appointment scheduling, billing support, record management, and ensuring a smooth, professional patient experience while maintaining confidentiality and accuracy.

Key Responsibilities

  • Welcome patients and visitors in a courteous, professional manner.
  • Provide accurate information on diagnostic services, test procedures, and preparation guidelines.
  • Address patient inquiries, concerns, and complaints promptly and professionally.
  • Register patients accurately in the diagnostic management system.
  • Verify referrals, test requests, and patient information.
  • Maintain proper documentation in line with centre policies.
  • Schedule, confirm, and reschedule appointments efficiently.
  • Coordinate patient flow with laboratory, radiology, and clinical staff.
  • Manage walk-in patients while maintaining order and minimal wait times.
  • Generate bills and invoices for diagnostic services.
  • Receive and process payments (cash, POS, bank transfer, HMOs).
  • Issue receipts and assist with daily financial reconciliation.
  • Verify HMO/insurance eligibility and coverage.
  • Process authorization codes and maintain insurance records.
  • Liaise with HMOs regarding approvals and documentation.
  • Maintain accurate physical and electronic patient records.
  • Ensure confidentiality and compliance with data protection standards.
  • Retrieve and file patient information efficiently.
  • Notify patients when results are ready for collection or electronic dispatch.
  • Ensure results are released only to authorized persons.
  • Follow up on pending or delayed test results.
  • Manage phone calls, emails, and general inquiries.
  • Maintain a neat, organized, and professional front desk environment.
  • Monitor and request front office supplies as needed.

Qualifications & Requirements

  • Minimum of OND / HND / BSc in any relevant field.
  • Previous experience in a healthcare or diagnostic centre is an added advantage.
  • Basic knowledge of medical billing, HMOs, and patient management systems.
  • Computer literacy (MS Office, hospital management software).
