Job Description

Required Experience

Applicants must have 2–5 years of experience working in a law firm or legal department in a law clerk, paralegal, legal assistant, or comparable legal support role, with hands-on experience handling legal documents and file workflows.

Key Responsibilities

  • Organize and maintain electronic client files, including document naming, indexing, version control, and evidence organization.
  • Prepare first drafts and formatted documents from templates and lawyer instructions, including letters, forms, chronologies, summaries, and supporting materials for review.
  • Compile document packages and exhibits, including consistent formatting, pagination, and quality control checks.
  • Track deadlines and tasks, escalate urgent timelines, and support internal workflow management.
  • Coordinate administrative client communications, including scheduling and document requests.
  • Support the firm’s confidentiality and cybersecurity standards, including secure handling and transmission of client information.

Required Skills

  • Excellent English writing, proofreading, and attention to detail.
  • Strong organization and ability to manage multiple files at once.
  • Proficiency with Microsoft Office (Word/Outlook); comfort working in cloud-based document systems and using PDF tools.
  • Ability to follow detailed instructions and meet time-sensitive deadlines.
  • Professional judgment with confidential information and strict adherence to security protocols.

Preferred Assets

  • Prior experience supporting litigation-style or tribunal-style document preparation.
  • Experience with immigration/refugee, family law, or corporate/commercial documentation (asset, not required).
  • Experience preparing document indices, exhibit lists, and evidence bundles.
